ClipLexis ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share information when you use our service.

ClipLexis uses YouTube API Services to provide video caption search functionality.

By using ClipLexis, you also agree to be bound by the Google Privacy Policy, which can be reviewed at: https://policies.google.com/privacy

2. YouTube Data Collection and Usage

2.1 What YouTube Data We Access

When you connect your YouTube account to ClipLexis, we access the following data through the YouTube API:

  • Channel Information: Channel ID, channel title, channel avatar, subscriber count
  • Video Metadata: Video IDs, titles, descriptions, thumbnails, upload dates, durations, view counts
  • Caption Data: Video captions/subtitles (transcripts) in available languages
  • Playlist Data: Playlist information and video associations
  • Account Information: Your YouTube account email and profile information

2.2 How We Use YouTube Data

We use the YouTube data we collect to:

  • Search and Indexing: Index video captions to enable full-text search across your video library
  • Display and Organization: Display your videos, channels, and associated metadata in the ClipLexis interface
  • Analytics: Provide insights about your content, including caption availability and video statistics
  • Import and Sync: Synchronize your YouTube content to keep your ClipLexis library up to date
  • Team Collaboration: Enable authorized team members to access shared channel data

We do not sell, rent, or share your YouTube data with third parties for advertising or marketing purposes.

2.3 Where YouTube Data is Stored

YouTube data accessed through ClipLexis is stored in our secure database infrastructure:

  • Database Provider: Supabase (PostgreSQL)
  • Encryption: All data is encrypted at rest and in transit using industry-standard encryption protocols
  • Location: Data is stored in secure data centers with SOC 2 Type II compliance
  • Access Controls: Strict access controls limit data access to authorized ClipLexis systems and personnel only

2.4 How Long We Retain YouTube Data

We retain YouTube data as follows:

  • Active Accounts: Data is retained while your account remains active and connected to YouTube
  • Account Deletion: When you delete your ClipLexis account, all associated YouTube data is permanently deleted within 30 days
  • Channel Disconnection: When you disconnect a YouTube channel, that channel's data is deleted within 7 days
  • Inactive Accounts: Accounts inactive for more than 2 years may have their data archived or deleted

3. Data Deletion and Access Revocation

3.1 Delete Your Data in ClipLexis

You can delete your stored YouTube data at any time:

  1. Log in to your ClipLexis account
  2. Navigate to Settings (⚙️ button in top right)
  3. Select "Disconnect" next to a channel to remove that channel's data (available to channel owners and managers)
  4. Or select "Delete Account" to permanently remove all your data from ClipLexis

Important: To prevent YouTube API quota abuse, disconnected channels cannot be reconnected for 30 days. This protects ClipLexis's API limits.

3.2 Revoke ClipLexis Access to Your YouTube Account

You can revoke ClipLexis's access to your YouTube account at any time through your Google Account settings:

  1. Visit https://myaccount.google.com/connections
  2. Find "ClipLexis" in the list of connected apps
  3. Click "Remove Access" or "Revoke"

Note: Revoking access will prevent ClipLexis from accessing your YouTube data, but will not automatically delete data already stored in ClipLexis. To delete stored data, follow the steps in section 3.1 above.

4. Other Information We Collect

4.1 Account Information

We collect information you provide when creating an account, including your email address, password (encrypted), and profile information.

4.2 Usage Data

We automatically collect information about how you use ClipLexis, including search queries, features accessed, and interaction patterns. This helps us improve the service.

4.3 Technical Information

We collect technical information such as your IP address, browser type, device information, and operating system for security and service optimization purposes.

5. Cookies and Local Storage

ClipLexis uses cookies and browser local storage to provide and improve our service:

5.1 Authentication Cookies

  • Purpose: Maintain your login session and authenticate your requests
  • Type: Essential cookies (required for service functionality)
  • Duration: Session-based or persistent based on your "Remember Me" preference
  • Storage: Secure, HTTP-only cookies with encryption

5.2 Session Storage

  • Purpose: Store temporary data during your browsing session (e.g., search preferences, UI state)
  • Duration: Cleared when you close your browser
  • Contents: Non-sensitive user preferences and temporary application state

5.3 Local Storage

  • Purpose: Store user preferences and application settings locally
  • Duration: Persistent until manually cleared
  • Contents: Display preferences, theme settings, and cached non-sensitive data

You can control cookies through your browser settings, but disabling certain cookies may limit your ability to use ClipLexis functionality.

6. Data Sharing and Disclosure

We may share your information only in the following circumstances:

  • With Your Consent: When you explicitly authorize us to share data
  • Team Members: With authorized team members you invite to access your channels
  • Service Providers: With trusted third-party service providers who assist in operating ClipLexis (e.g., database hosting, authentication services) under strict confidentiality agreements
  • Legal Requirements: When required by law, court order, or government regulation
  • Security and Fraud Prevention: To protect against security threats, fraud, or abuse
  • Business Transfers: In connection with a merger, acquisition, or sale of assets (you will be notified and given options regarding your data)

We do not sell your personal information or YouTube data to third parties.

7. Data Security

We implement industry-standard security measures to protect your data:

  • Encryption of data in transit (TLS/SSL) and at rest (AES-256)
  • Secure authentication using OAuth 2.0 and encrypted password storage
  • Regular security audits and vulnerability assessments
  • Access controls and principle of least privilege for system access
  • Monitoring and logging of security events

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

8. Your Rights and Choices

You have the following rights regarding your data:

  • Access: Download a copy of all your personal data via Settings → "Download My Data" button, or email us
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your data (right to be forgotten) via Settings page
  • Portability: Download your data in machine-readable JSON format via the Settings page
  • Objection: Object to certain processing of your data
  • Withdrawal of Consent: Withdraw consent for data processing at any time

Self-Service Data Export:

  1. Navigate to Settings (⚙️ button)
  2. Click "Download My Data" button
  3. Receive a complete JSON file with all your personal data

Includes: account information, connected channels, video metadata, caption statistics, team memberships, and authentication details (tokens redacted for security)

9. Children's Privacy

ClipLexis is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

10. International Data Transfers

Your data may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. By using ClipLexis, you consent to the transfer of your data to these countries. We ensure appropriate safeguards are in place to protect your data in accordance with this Privacy Policy.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of material changes by posting the updated policy on this page and updating the "Last Updated" date. Your continued use of ClipLexis after changes constitutes acceptance of the updated Privacy Policy.

Collaboration and Audit Logs

To support collaboration and protect account security, we collect and process invitation and collaboration metadata, including invited users, assigned roles, invitation and join/acceptance events, and related audit log entries.

We also process search-related abuse prevention metadata, including rate-limiting signals such as request timing, request volume, and related identifiers needed to detect and prevent misuse.

We use this information for security monitoring, abuse prevention, fraud detection, platform integrity, and compliance operations.

Collaboration and audit log records are retained for as long as reasonably necessary for security, legal, and compliance purposes.

YouTube Data

ClipLexis imports captions and transcript-derived data from YouTube only under user authorization and delegated permissions provided by authorized channel owners or managers.

Imported YouTube transcript data is available only to invited members of the associated channel or workspace, subject to role-based access controls.
